Can I contact candidates directly through iHire's platform?
We offer simple, yet powerful, messaging capabilities right within our candidate management tools. In addition to providing you with the ability to sort, tag, filter, and comment on candidates in your talent pools, our platform allows you to message applicants directly via email and text. The result is a more seamless recruiting experience that saves you time and keeps you organized by managing your candidates in one place throughout the hiring process.
iHire's messaging tools make communicating with candidates easier than ever before. You’re able to:
- Access all conversations with candidates in our Message Center.
- Message candidates directly from your profile.
- Reach candidates via email and/or text.
- Send pre-written templates or create your own.
- Use AI to refine your messages.
- View your message history (with any team member) on candidate profiles.
- Carry out the conversation either via email or through our platform once the candidate replies to your first message.
To use iHire's messaging tools:
- You must have an active subscription.
- Access your Message Center by clicking "Messages" on the menu of your iHire dashboard. You may also access messaging features through your “My Candidates” dashboard.
- To send a message to a candidate, navigate to their profile, and click the “Send Message” button. A window will appear where you may type your message or select a template, view your conversation history, or navigate to your Message Center.
- Choose how you’d like the candidate to receive the message in the “Send As” section at the top. If the “Email & Text” option is available to select, then the candidate is opted in to receive text messages.
- When you select “Send As: Email & Text,” the candidate will receive both an email and a text with your message, optimizing your chances of receiving a timely response. Once they respond, you’ll receive an email as well as a notification in the iHire platform. If the candidate is communicating with you via email, you may respond directly to their email and we’ll continue to record your conversation on the candidate’s profile and in your Message Center.
- To select a template, click the “Templates” button in your message window and select the template you’d like to use. If there are personalization tokens included in the template, they will auto-populate with the appropriate information. You may send the message as-is or make changes as needed.
- To create a template, select “Templates” in the message window and “Create New Template.” Select a name for your template and type your message. To add personalization tokens, like candidate name or career title, select “Insert Token” and choose from the tokens provided. Click “Save Template” once you’re finished, and your completed template will now appear in the “Templates” list.
- If you’ve already typed a message and would like to save it as a template, select “Templates” and “Create New Template.” Your message will populate in the box. Once you’re finished, select “Save Template.”
- To improve, personalize, or tweak the tone of your message, select the “Modify” button.
- If you select “Improve grammar,” our AI technology will automatically optimize your manually written message for grammar, syntax, and style.
- If you select “Personalize,” our AI technology will pull in information about your organization, the candidate’s work history and skills, and the job opening (if applicable). These changes can be applied to manually written or templated messages.
- Lastly, if you select either “Make it more formal” or “Make it more casual,” our AI technology will adjust the tone of the message.
- To view message history with a candidate, navigate to your Message Center and search for the candidate’s name in the “Search Messages” box. Messages are grouped by candidate, so you can see all correspondence you and your team members’ have had with each candidate. You may also view conversation history within a candidate’s profile. When you select the “History Tab,” you can view all candidate activity, team notes, and messages. Or, you can filter the history to only view messages.
